Project Support Specialist
$25/hr - $32/hr
Role Summary:
The Project Support Specialist provides financial and administrative support to the Capital Project Engineering team. This role ensures project cost tracking, procurement, invoicing, and reporting processes are accurate and efficient. The specialist interacts with team members, leadership, and other departments to maintain project documentation and compliance.
Key Responsibilities:
Capital Project & Procurement Support:
- Assist in routing electronic capital funding requests (eCPA) and contingency funding.
- Initiate and track capital purchase orders, work orders, and bid exceptions.
- Ensure vendor qualification documentation and compliance with procurement policies, including the Foreign Corrupt Practices Act (FCPA).
- Expedite purchases and maintain PO tracking logs.
- Coordinate with suppliers to ensure timely deliveries and resolve discrepancies.
Invoicing & Financial Support:
- Work with vendors to process and approve invoices efficiently.
- Track capital cash flow and resolve invoicing discrepancies.
- Assist in project closure, including PO reconciliation, asset capitalization, and compliance with financial guidelines.
- Ensure accurate reporting of project budgets, forecasts, and financial status.
Project Reporting & Documentation:
- Maintain cost tracking spreadsheets and provide financial insights to Project Managers.
- Align project data between SAP and portfolio management tools.
- Develop and manage reports, presentations, and meeting materials for leadership.
- Support business process documentation and electronic routing for project approvals.
General Support & Process Improvement:
- Manage and update the Project Engineering SharePoint site.
- Identify process improvements and support efficiency initiatives.
- Communicate project issues and updates to leadership and stakeholders.
- Ensure compliance with corporate financial and procurement policies.
Qualifications:
- Associate degree in finance, accounting, engineering, or a related field (Bachelor’s preferred).
- 3+ years of experience in finance, project management, or administrative support.
- Proficiency in SAP, Ariba, and Microsoft Office (Excel, PowerPoint, SharePoint).
- Strong organizational, analytical, and problem-solving skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Excellent communication and teamwork skills.
Work Conditions:
- First shift role with potential overtime as needed.
