Procurement Administrative Assistant

The Administrative Assistant provides a wide variety of administrative and staff support services to organizational unit.
May delegate assignments to other administrative staff or team members, and provides on the job training to new team members.
Responsibilities are typically confidential in nature, exposure sensitive to information and contacts requiring considerable discretion, judgment, tact, and diplomacy.
Typically supports executive management in coordinating project files, managing information flow, or arranging travel schedules and meeting planning.
May execute special or continuous research in support of a project, collect data and analyze complex problems associated with a project, or may act as coordinator or budget manager of departmental projects. Maintains log of purchase orders, check vouchers, expense reports, check request, budget accruals.
Reviews purchase requisitions from departments, obtains competitive price quotes, and then prepares purchase orders.
Maintains a current list of approved vendors and verifies receipt of items on vendor's invoice against purchase order before forwarding for payment.
Assists in preparation of annual budgets and proprietary data for bids, proposals, and other project development activities.
Maintains confidential personnel records associated with payroll including salary data, performance data.
High School Diploma or equivalent required, plus advanced or specialized training in administrative support is preferred
College degree is desirable.
5 or more years of administrative support experience, with some prior experience in an administrative leadership role is preferred (8 years total experience preferred).
