Maintenance Administrative Assistant

The Maintenance Administrative Assistant will serve as receptionist/telephone operator at the maintenance facility
Will assist the Project Maintenance Manager
Makes contact with suppliers to process orders for maintenance department.
Will match delivery receipts to invoices for processing and invoice filing.
Input data into Maintenance Connection on a daily basis.
Regular/frequent contact within department and frequent contact with other company employees requesting services.
Frequent contact with suppliers, vendors, and repair/service personnel. Special assignments may be expected.
Other duties as assigned
High school graduate; prefer some college coursework or associate’s degree in business.
2 or more years’ experience working in an office environment Maintenance background preferred
Moderate to advanced skills required to operate business equipment associated with copy center, telephone/reception areas, etc.
Intermediate knowledge of Windows environment and strong keyboard skills.
Intermediate knowledge of Microsoft Office Outlook, Word, and Excel applications.
Good communication and phone skills.
Excellent written, verbal, listening, communication, interpersonal, and team-building skills.
Ability to work in fast-paced environment and meet multiple priorities and deadlines.
Demonstrated ability to pay attention to detail.
Must possess excellent data entry skills (with minimal errors or omissions).
Expert / proficient with computers, including good working knowledge of Microsoft Office Suite (Outlook, Excel, Access, PowerPoint, Word). Knowledge of GenSuite, Maintenance Connect or similar database preferred.
