Job Description:
This is the career/senior level of the administrative hierarchy. Employees at this level provide administrative support to work groups in the organization. At this level, the individual has developed specialized skills or is multi-skilled through considerable on-the-job experience and completes work with a limited degree of supervision. This position typically supports multiple managers.
This is an on-site position, not remote. In addition to their primary responsibilities, the specialist may be required to support meetings and events in other buildings or provide coverage for other administrative staff during their absence.
We are seeking a candidate with a friendly disposition who genuinely enjoys serving, coordinating, and assisting others. During periods of downtime, the specialist is expected to proactively identify and implement improvements to enhance the working experience. The individual will likely be stationed at the front desk/reception area, where they will assist with visitors, catering, events, and other related tasks. Uses business software applications (e.g. Word, PowerPoint, Excel) to prepare correspondence, reports, presentations, agendas, minutes, etc. Receives, screens and directs incoming calls, visitors, mail and e-mail. Maintains files and calendars. Responsible for arranging business travel, coordinating meeting arrangements, and tracking expenses.
Responsibilities:
• Assisting with various administrative needs
• Scheduling rooms
• Coordinating events
• Ordering catering
• Ordering, receiving, and stocking coffee supplies
• Ordering, receiving, and stocking office and cleaning supplies
• Assisting visitors
• Helping onboard new contractors/employees
o Ordering equipment, laptops, virtual desktops
o Providing checklist for required training and sending completed training to records management
• Processing vendor invoices
• Tidying up breakrooms/cafes (non-housekeeping tasks):
o Running and unloading dishwasher
o Coordinating periodic refrigerator cleanout
o Submitting housekeeping/facilities requests
Preferred Qualifications:
• Strong computer skills
• Demonstrated knowledge and experience with Microsoft Office suite applications, including Excel and PowerPoint
• Demonstrated ability to multi-task and prioritize assignments
• Demonstrated ability to communicate (both written and oral) in a clear, concise, and effective manner
• Ability to effectively interface with multiple individuals across a department, e.g., managers, supervisors, employees
• Experience working in a fast-paced, demanding environment with changing conditions
Working Conditions:
• Performs work in a normal office environment
• May be required to provide assistance in multiple areas as needed
• Position may be located at a generating plant, regional office, etc.
• Prolonged sitting at desk/computer
• May be required to travel for training and/or assistance at other sites and may be required to work overtime
