Job Description:

The Senior Executive Assistant will be supporting Director level executives.

Performs general office tasks including operating high-tech video and web conferencing equipment, opening and sorting mail, faxing, operating multiple phone lines, office and supply maintenance, filing, general correspondence, meeting coordination, spreadsheet development and upkeep, generation of employee expense reports and arranging travel.

Calendar scheduling

Responsible for managing respective department employee’s schedules.

Responsible for scheduling regular and special meetings and preparing agendas.

Performs finance tasks processing invoices, preparing payment requests and preparing reports on general and administrative expenses and/or department goals.

Keeps record of budget status and provides reports of such.

Supports significant projects that require a high degree of confidentiality.

Event planning for the team.

Acts as a liaison between respective executive and internal and external clients.

Other duties as assigned.

Qualifications:

High School Diploma or GED required

8+ years of experience as an administrative assistant or has equivalent experience and training.

Excellent interpersonal, organizational and teamwork skills

Ability to be led by peers

Solid oral and written communication skills and the ability to effectively communicate at all levels and disciplines of the organization

Adheres to the highest standards of ethical behavior when carrying out job responsibilities and interfacing with others

Solid knowledge of general office practices

Excellent email, telephone and organization skills

Proficient in Microsoft Office, especially Excel, PowerPoint and Word

Customer service oriented

Must have ability to maintain confidentiality required of work assignments and is independent and resourceful to accomplish day to day tasks and assignments..
