Administrative Assistant (Procurement/Accounting)

This Administrative Assistant provides a wide variety of administrative and staff support services to an organizational unit.
Will provide specialized administrative support to project, regional and client level staffing.
Will frequently provide on the job training to new team members.
Interfaces with outside high-level clients, government officials, and dignitaries, requiring an extremely professional demeanor and customer service approach.
Typically supports executive management in coordinating project files, managing information flow, or arranging travel schedules and meeting planning.
May execute special or continuous research in support of a project, collect data and analyze complex problems associated with a project, or may act as coordinator or budget manager of departmental projects.
Prepares specifications for bidders
Reviews purchase requisitions from departments, obtains competitive price quotes, then prepares purchase orders
Maintains log of purchase orders, check vouchers, expense reports, check request, budget accruals
Maintains a current list of approved vendors and verifies receipt of items on vendor's invoice against purchase order before forwarding for payment
Maintains confidential personnel records associated with payroll including salary data, performance data
Assists in preparation of annual budgets and proprietary data for bids, proposals, and other project development activities
Creates and prepares correspondence and reports
Will be tracking budgets, managing and paying invoices against purchase orders, managing and creating purchase requisitions and subcontracts.
Performs other duties as required
High School Diploma or GED required
10 or more years of administrative support experience is preferred, with some prior experience in an administrative leadership role is preferred
Plus advanced or specialized training in administrative support is preferred
College degree is desirable.
Possess a valid driver’s license
Must be able to type a minimum of sixty (60) words per minute.
Knowledge of computer software including but not limited to Microsoft Word, Excel, Outlook, Access, and PowerPoint; ability to develop worksheets and graphs from data
Knowledge of the principles and methods of centralized purchasing, accounting, and cash management procedures
Strong experience in Procurement and Accounting background.
